Having a plan when you are organizing makes things go so much smoother.  There are 6 basic steps to plan any event.

  1. Select your event's date.  Of course for this event it is Christmas, but you will have possibly more than one dinner/lunch to accommodate everyone.
  2. Create an event budget.  Depending on the size of your Department - this will vary greatly - this is where sponsors come in.
  3. Arrange sponsorships and for your event.   Getting the items you need donated is sometimes easier than cash
  4. Coordinate all of your event supplies (catering, equipment, cookers, etc). 
  5. Manage event day set up and execution.   Coordinate all of your volunteers to make everything run smoothly
  6. Conduct a thorough evaluation of your event; this will make next year's event a breeze.

When a department is Adopted, a new screen will show under the Department name with a Contact for your event, a list of Volunteers, and a list of Sponsors. 

Finding Sponsors for your Event
  1. Make a list of all the supplies, food, gift cards that you might need.
  2. Draft a donation letter.  Here is a list of some FREE SPONSORSHIP LETTERS
  3. Contact companies that sell the items you will need or who can supply gift cards for the officers to hand out.
  4. Offer the companies something in return; advertising on a menu, poster, etc.  Possibly have several levels to participate in.  You can list them HERE under your department to give them added recognition.  
  5. Contact colleges and businesses you frequent.

Finding Volunteers for Your Event
  1. Start with friends and family.  This is a great cause and a good way to put the true meaning of giving back into Christmas.
  2. Churches
  3. Colleges
